DUNDEE TOWNSHIP

REGULAR MEETING

March 26, 2019

 

The Regular Meeting of the Dundee Township Board was held Tuesday, March 26, 2019, at the Dundee Township Hall.  Supervisor Uhl called the meeting to order at 7:04 p.m.    The Pledge of Allegiance and Roll call of officials was taken at the Public Hearing held prior to the meeting.    All Board Members except Trustee Lazette (excused) were present.  Trustee CJ moved to approve the Agenda upon waiving the Pledge of Allegiance and roll call of officials.  Treasurer Sontag supported Motion carried.  Trustee CJ moved to approve the Regular meeting minutes held on, March 12, 2019 and waive the reading of such.  Trustee Jaworski supported.  Motion carried. Trustee CJ moved to approve the February 2019, Treasurer’s report and Clerk Salenbien supported.  Motion carried.  Treasurer Sontag moved to approve the correspondence and place on file.  Clerk Salenbien supported.  Motion carried. 

 

PUBLIC COMMENT:  None

 

OFFICIAL REPORTS: 

Assessing Department:  Supervisor Uhl reported Board of Review paperwork will be taken to the county tomorrow to finalize.   

 

Building Department:  None

 

Supervisor Uhl:  Supervisor Uhl reported the invoice from OnSolve (Code Red) was received and the Township’s portion of this service is $2,470.00 (38%).  The Village’s portion is $4030.00 (62%).

Clerk Salenbien moved to pay the Township’s portion of the OnSolve Invoice (Code Red) in the amount of $2,470.00 for the period of April 1, 2019 through March 31, 2020.  Trustee CJ supported.  Motion carried.   

 

Trustee C.J.:  Trustee CJ and Supervisor Uhl reported they met with the attorney’s, Stoneco and Mr. Schultz regarding the pond bond issue.  Mr. Schultz is to prepare a proposal for the board to consider (in lieu of the bond) at our April 9th meeting. 

 

Trustee Lazette: Trustee Lazette had prepared a written report in his absence regarding the deteriorating retaining wall at the library and will continue to pursue alternate methods of dealing with the problem.   

 

Trustee Travis Horkey:  Trustee Travis inquired about repairs at Oakgrove Cemetery damage. 

 

Trustee Jaworski:  Trustee Jaworski reported the damaged fence at Oakgrove Cemetery has been removed but the headstones have not been repaired. Trustee Jaworski reported he was looking for the corner irons of the new property located next to Oakgrove Cemetery. 

 

Treasurer Sontag:  Treasurer Sontag reported the close out is complete and officially the 2018 tax year is ended.  IFT checks will be mailed out next week.  Treasurer Sontag reported on a false posting that has been circulating on Face Book about PRE’s expiring.  This is a false rumor and PRE’s do not expire. Clerk Salenbien reported a clarification statement has been posted on the township’s website.      

 

Clerk Salenbien:  Clerk Salenbien reported she attended a County Clerk’s meeting last week.  There will most likely be a November election for us to hold for a Summerfield schools millage proposal.   

 

OLD BUSINESS:

MCRC Chloride Discussion:  Supervisor Uhl reported Trustee Lazette is awaiting a proposal for dust control from another source.  If we choose to go with another source for the brine it would only be for the roads west of US23.  The calcium chloride application would still be applied to roads east of US23 and contracted through the MCRC.    This will be discussed again at our next meeting. 

 

NEW BUSINESS: 

Resolution 2019-1 – 2019-2020 Budget Adoption:  Trustee CJ moved to approve Resolution 2019-1-2019-2020 Budget as presented.  Treasurer Sontag supported.  A roll call vote was taken with all members voting in favor.  Trustee Lazette was excused.  Motion carried. 

 

Fire Department Insurance Claim (Pumps):  Supervisor Uhl reported Bluffton Aeration had been contacted to investigate damage to two grinder pumps and the control box at the fire hall and they reported it was most likely due to lightening damage.  An insurance claim was filed and an estimate to repair the pumps/control box was $4070.72 and an estimate for replacement of the pumps/control box was $9388.62.  The board expressed concerns that the warranty for the repairs is only 30 days, life expectancy of pumps, further hidden damage and additional costs in the future. The warranty for replacement pumps is two years.   If the claim falls under “equipment” the deductible is $1000.00.  If the claim falls under “Inland marine” the deductible is $500.00.  Board members further reviewed the two estimates and options.  Trustee CJ moved to proceed with the insurance claim and repair the pumps/control box at the fire hall.  Trustee Travis supported.  Motion carried. 

 

ANY OTHER ADDITIONAL BOARD COMMENTS: 

Trustee CJ presented a proposal on behalf of the fire department from Eby Enterprises to do some interior painting.  Trustee CJ moved to accept the bid from Eby Enterprises to do some interior painting at the fire hall for $860.00.  Treasurer Sontag supported.  Motion carried. 

Clerk Salenbien reported a surge protector on the server had been damaged and will need replaced.  It is estimated to cost around $350.00.

Commissioner Dave Hoffman reported the county board of commissioners may be voting on eliminating the County Planning Commission and is asking if townships are against this to draft a letter in support of keeping the commission.  Supervisor Uhl will contact our Planning Commission chairman to discuss his feeling on this matter. 

       

Motion made by Trustee CJ supported by Trustee Jaworski to pay the bills from 3/21/19 in the amount of $16,637.59.   Motion carried.    

Motion made by Trustee CJ supported by Trustee Jaworski to adjourn the meeting.  Motion carried.  The meeting adjourned at 8:21 p.m.  The next meeting will be April 9, 2019.
